Klinika: cloud-synced edition

Summary

Klinika is the edition for clinics with multiple devices, which syncs data through our servers. Sync does not activate automatically: it starts only once an agreement between the clinic and Klinika (Rrezvin Sh.P.K.) is in place and the clinic is activated with a connection code. Until then, the app behaves like Ordinanca, fully local.

1. When sync is activated

Cloud sync requires a separate agreement between your clinic and Rrezvin Sh.P.K., plus an activation/connection code for your clinic. Without this agreement and activation, no clinical data leaves the device.

2. Data that gets synced

When sync is active, the following data is transmitted and stored on our servers to keep it consistent across the clinic’s devices:

patients (demographic and contact data),
visits and schedules,
encounters: clinical notes (visits) and prescriptions,
the clinic’s services and staff (users).

This includes health data for patients, which we process only on behalf of the clinic, under the agreement.

3. Roles: who controls the data

Your clinic is the data controller: you decide which data is entered and processed. Rrezvin Sh.P.K. (Klinika) is a processor, which processes it only under your instructions and the terms of the agreement, in order to provide the sync service.

4. Where it’s stored and how it’s protected

Data is transmitted over a secure HTTPS/TLS connection.
Each clinic’s data is isolated from others via row-level security rules (Row-Level Security).
Access is tied to the clinic’s authorized devices.

5. Sub-processors

For database infrastructure and sync we use Supabase as a sub-processor. They store data on our behalf under their own security and privacy terms.

6. Anonymous usage statistics

As with Ordinanca, we collect anonymous usage statistics via Aptabase (screen name, version, edition). These do not contain any data that identifies patients or users.

7. Data retention and deletion

Synced data is retained for as long as your clinic uses the service. When the agreement ends, your clinic’s data on our servers is deleted or returned to you per the agreement’s terms. You may request access, correction, or deletion of data by contacting us.
